Health, Safety & Participation Waiver

Contrast Therapy, Yoga, Pilates, Reformer Pilates, Hot Yoga & Wellness Classes

This Health, Safety & Participation Waiver (“Waiver”) applies to all guests, clients, members and visitors (“you”, “your”) taking part in any session, class, service or activity provided by Igloo Wellness Centre Limited (“we”, “us”, “our”, “Igloo Wellness Centre”), including but not limited to:

  • sauna use;
  • ice bath and cold immersion;
  • contrast therapy;
  • yoga;
  • mat pilates;
  • reformer pilates;
  • hot yoga;
  • baby, parent, pregnancy, postnatal or family classes;
  • recovery, movement, wellbeing or class-based activities;
  • Hyperbaric chambers;
  • use of associated changing, showering, studio and communal areas.

By booking, attending, using the facilities or participating in any activity at Igloo Wellness Centre, you confirm that you have read, understood and agreed to this Waiver.

Participation in wellness, recovery, heat, cold, movement and exercise-based activities involves physical effort and may carry risk. These activities may affect heart rate, blood pressure, breathing, hydration, balance, flexibility, body temperature and physical comfort. Participation is voluntary and undertaken at your own risk, subject always to your legal rights.


1. Fitness to Participate

By taking part in any activity at Igloo Wellness Centre, you confirm that:

  • you are physically and mentally fit to participate in the activity you have booked;
  • you do not have any medical condition, injury or limitation that would make participation unsafe without medical approval;
  • you will seek advice from a qualified medical professional before participating if you are unsure whether the activity is suitable for you;
  • you will inform Igloo Wellness Centre before participating if you have any injury, medical condition, allergy, implanted device, medication use, pregnancy-related concern, recent surgery or other issue that may affect your safe participation;
  • you will not participate while under the influence of alcohol, recreational drugs or any substance that may impair your judgement, coordination, awareness or physical response;
  • you will not participate if you feel unwell, faint, feverish, unusually fatigued, dehydrated, injured or otherwise unfit to do so.

You should take particular care and seek medical advice before participating if you are pregnant, recently postnatal, recovering from surgery, or have any cardiovascular condition, blood pressure issue, respiratory illness, neurological condition, balance issue, joint condition, back or neck injury, reduced sensation, history of seizures, serious skin condition, Raynaud’s phenomenon, fainting history or any other condition that may be affected by heat, cold, exercise, stretching or physical exertion.

2. Pre-Activity Health Questionnaire

Before your first session at Igloo Wellness Centre, you must complete our Pre-Activity Health Questionnaire (“PAR-Q”). You must also update us if your health, medication, pregnancy status or any relevant condition changes.

You agree that:

  • the information you provide in the PAR-Q is complete, true and accurate to the best of your knowledge;
  • Igloo Wellness Centre may, where it considers necessary, ask you to obtain a written medical clearance from a qualified medical professional before participating in some or all activities;
  • Igloo Wellness Centre may refuse, restrict or pause your participation in any activity where it considers, acting reasonably, that participation would be unsafe.

Failure to disclose relevant information may invalidate the protection that this Waiver, and any insurance, would otherwise provide.

3. Assumption of Risk

You understand and accept that participation in activities at Igloo Wellness Centre carries inherent risks, including but not limited to:

  • overheating;
  • dehydration;
  • burns, skin irritation or heat-related discomfort;
  • dizziness, fainting or nausea;
  • shortness of breath;
  • cold shock response;
  • panic, distress or claustrophobic feelings;
  • numbness, muscular discomfort or cramping;
  • hypothermia;
  • sprains, strains or soft tissue injury;
  • joint, back, neck or shoulder discomfort;
  • aggravation of existing injuries or medical conditions;
  • slips, trips and falls;
  • injury caused by incorrect use of equipment or failure to follow instructions.

By participating, you voluntarily accept the normal and inherent risks associated with the activity, except where loss, injury or damage is caused by negligence or by any liability that cannot lawfully be excluded or restricted.

4. General Participant Responsibilities

For your safety and the safety of others, you agree to:

  • follow all verbal, written and displayed instructions;
  • use facilities, studios and equipment responsibly and only for their intended purpose;
  • enter and exit all areas carefully, particularly where floors may be wet;
  • remain hydrated before, during and after your session;
  • wear suitable clothing, footwear or swimwear for the activity;
  • remove jewellery, metal items or accessories where appropriate;
  • respect session times, class limits, operational rules and staff decisions;
  • stop participating immediately if you feel unwell, unsafe or uncomfortable;
  • notify a member of staff immediately if you feel unwell or see another participant in distress;
  • tell the instructor before class if you have any injury, limitation, pregnancy-related concern or medical issue that may affect your participation;
  • work within your own ability and not attempt movements, poses, resistance levels or exposure times beyond your personal capacity;
  • behave respectfully towards staff, instructors, members and guests at all times.

You must stop participating immediately if you experience dizziness, chest pain, breathing difficulty, numbness, confusion, nausea, panic, faintness, severe discomfort, sharp pain or any unusual symptoms.

5. Contrast Therapy Centre Safety

This section applies to use of the sauna, ice baths, cold immersion areas, changing areas, showers and associated facilities.

When using the contrast therapy centre, you acknowledge and agree that:

  • heat and cold tolerance varies from person to person;
  • rapid changes between hot and cold environments can place stress on the body;
  • you must follow all staff instructions and displayed safety guidance;
  • you must not exceed your own tolerance or recommended exposure times;
  • you must enter and exit all areas carefully;
  • you must not run, jump, dive or behave unsafely in or around wet areas;
  • you must leave the sauna or ice bath immediately if you feel light-headed, faint, nauseous, distressed, overheated, numb, confused, short of breath or otherwise unwell;
  • you should allow suitable recovery time between hot and cold exposure;
  • you must maintain appropriate hygiene standards and shower where requested;
  • you must not bring glass, sharp items, electrical items or prohibited objects into wet areas.

6. Sauna Safety

When using the sauna, you acknowledge and agree that:

  • heat exposure can affect heart rate, blood pressure and hydration;
  • you should not remain in the sauna longer than the maximum exposure time displayed in the facility or advised by staff, and in any event no longer than is safe or comfortable for you;
  • you must leave immediately if you feel light-headed, faint, nauseous, distressed or overheated;
  • you should sit or lie safely and avoid sudden movements when leaving the sauna;
  • you must use a towel where required and maintain proper hygiene standards;
  • you must not bring unsuitable personal items into the sauna;
  • you must not pour oils, substances or liquids onto heaters, stones or equipment unless expressly authorised by staff.

Sauna use is not recommended if you are pregnant, have a known cardiovascular condition, uncontrolled high or low blood pressure, are taking medication that affects blood pressure or thermoregulation, or have consumed alcohol. If any of these apply to you, you must not use the sauna without prior medical clearance.

7. Ice Bath and Cold Immersion Safety

When using the ice baths or cold immersion facilities, you acknowledge and agree that:

  • cold water immersion can cause an intense and rapid physical response, including cold shock response, hyperventilation, rapid changes in heart rate and blood pressure, and (in rare cases) cardiac events;
  • cold immersion is not suitable for everyone and may be contraindicated for individuals with cardiovascular disease, uncontrolled high blood pressure, heart rhythm disorders, pregnancy, epilepsy or a history of seizures, Raynaud’s phenomenon, severe asthma, recent surgery, or open wounds or skin infections;
  • you must not use the ice baths or cold immersion facilities if any of the above apply, unless you have obtained prior written clearance from a qualified medical professional;
  • first-time users must be inducted by, and complete their first session in the presence of, a member of staff or a trained supervisor, and must not use the ice baths unsupervised on their first visit;
  • you must not exceed the maximum exposure time displayed in the facility or advised by staff;
  • you are responsible for entering and exiting the bath in a controlled and safe manner;
  • you must stop immediately and exit the bath if you experience severe discomfort, numbness, chest pain, breathing difficulty, dizziness, confusion or panic;
  • you should warm up gradually after cold exposure and avoid hot showers or saunas immediately following immersion unless under staff guidance;
  • you should not move directly between hot and cold areas without suitable recovery time;
  • you must not submerge your head unless expressly permitted and safe to do so;
  • you must not use the ice baths or cold immersion facilities while alone on the premises or outside supervised operating hours.

8. Yoga, Mat Pilates and General Movement Classes

This section applies to yoga, mat pilates and other floor-based movement, mobility, stretching, strengthening, breathwork or wellbeing classes.

By participating, you acknowledge and agree that:

  • movement classes may involve stretching, balance, bodyweight strength, breathing exercises, repeated movements and sustained positions;
  • you are responsible for working within your own ability and comfort level;
  • you must inform the instructor before class of any injury, medical condition, pregnancy, recent surgery or limitation;
  • you should not force any movement, stretch or position;
  • you should stop immediately if you feel pain, dizziness, breathlessness, faintness or unusual discomfort;
  • hands-on adjustments will only be given where appropriate and with your consent;
  • you must use mats, blocks, straps or other equipment safely and as directed.

9. Hot Yoga and Heated Classes

This section applies to hot yoga and any class delivered in a heated environment.

By participating, you acknowledge and agree that:

  • heated classes may increase body temperature, sweating, heart rate and dehydration risk;
  • heated classes may not be suitable for everyone;
  • you must hydrate appropriately before, during and after class;
  • you should take breaks whenever needed;
  • you must leave the room or stop participating if you feel dizzy, faint, nauseous, overheated, confused, short of breath or unwell;
  • you should seek medical advice before participating if you are pregnant, have blood pressure issues, a heart condition, respiratory condition, heat sensitivity, an eating disorder, or any other relevant medical concern.

10. Reformer Pilates Safety

This section applies to reformer pilates and any class using reformer machines, springs, straps, pulleys, platforms or related equipment.

By participating, you acknowledge and agree that:

  • reformer pilates involves resistance-based movement and use of specialist equipment;
  • you must follow the instructor’s guidance at all times;
  • you must not adjust springs, straps, bars or equipment unless instructed to do so;
  • you must use controlled movements and avoid sudden release of equipment;
  • you must keep hands, feet, hair, clothing and personal items clear of moving parts;
  • you must tell the instructor before class if you are new to reformer pilates or unsure how to use the equipment;
  • you must stop immediately if you experience pain, dizziness, numbness, joint discomfort or unusual symptoms.

11. Pregnancy, Postnatal, Baby, Parent and Family Classes

This section applies to pregnancy, postnatal, baby, parent and family classes where offered.

By participating, you acknowledge and agree that:

  • you are responsible for ensuring that the class is suitable for you and/or your child;
  • you should seek medical or midwife advice before participating during pregnancy or after birth where appropriate;
  • you must inform the instructor of any pregnancy, postnatal recovery issue, birth injury, pelvic floor concern, abdominal separation, medical condition or physical limitation;
  • you must supervise any child in your care at all times unless expressly agreed otherwise;
  • you are responsible for your child’s safety, behaviour and belongings during the session;
  • you must not attend if you or your child has a contagious illness or symptoms that may affect others.

Igloo Wellness Centre may refuse or pause participation where it considers this necessary for the safety of the participant, child, instructor or wider group.

12. Hygiene, Conduct and Right to Refuse Access

Igloo Wellness Centre may refuse, suspend or terminate participation where it reasonably considers this necessary for health, safety, hygiene, operational or behavioural reasons. Any such refusal, suspension or termination will be exercised in compliance with the Equality Act 2010 and will not be based on any protected characteristic.

All participants must:

  • shower where requested;
  • maintain acceptable personal hygiene;
  • wear suitable clothing or swimwear for the activity;
  • use towels, mats and equipment hygienically;
  • wipe down or return equipment where requested;
  • follow staff and instructor instructions;
  • avoid unsafe, abusive, disruptive or inappropriate behaviour;
  • not attend while intoxicated or medically unfit;
  • not bring glass, sharp items, electrical items or prohibited objects into restricted areas.

Any participant who appears intoxicated, aggressive, medically unfit or unable to follow instructions may be refused access or asked to leave.

13. Age Restrictions and Minors

13.1 Age Restrictions

Contrast therapy facilities, including saunas, ice baths and cold immersion, are for users aged 16 and over.

Age restrictions for classes may vary depending on the class type, equipment used, instructor guidance and operational requirements. We will confirm the minimum age for each class at the point of booking.

Igloo Wellness Centre reserves the right to refuse access to any person who does not meet the relevant age, consent or supervision requirements.

13.2 Participants Under 18

Where participation by a person under 18 is permitted, the following additional terms apply:

  • a parent or legal guardian must complete and sign this Waiver and the PAR-Q on the minor’s behalf;
  • the parent or legal guardian must remain on the premises during the minor’s session unless we have expressly agreed otherwise in writing;
  • the parent or legal guardian confirms that they have parental responsibility for the minor and authority to consent to the minor’s participation;
  • the parent or legal guardian acknowledges that they cannot waive, on behalf of the minor, any right the minor may have to claim for personal injury, and nothing in this Waiver purports to do so.

13.3 Baby, Parent and Family Classes

In baby, parent and family classes, the adult attending is the participant for the purposes of this Waiver and is responsible at all times for any child in their care. The provisions of section 11 apply.

14. Personal Property

You bring personal belongings onto the premises at your own risk.

Igloo Wellness Centre is not responsible for loss, theft or damage to personal property unless caused by negligence or where liability cannot lawfully be excluded.

15. Medical Emergencies

If you become unwell or injured while on the premises, you authorise Igloo Wellness Centre staff to take reasonable steps they consider appropriate, including contacting emergency services, providing basic assistance within the scope of their training, and assisting with evacuation or first response.

You remain responsible for your own medical costs, treatment decisions and follow-up care, except where the law provides otherwise.

16. Fire and Emergency Evacuation

In the event of a fire alarm, emergency incident or instruction to evacuate, you must leave the premises immediately and follow staff directions.

You agree to:

  • use the nearest safe exit as directed;
  • not stop to collect belongings unless told it is safe to do so;
  • proceed to the designated assembly point;
  • remain at the assembly point until further instruction is given;
  • not re-enter the premises until authorised.

Igloo Wellness Centre maintains fire safety systems, procedures and controls as part of its health and safety responsibilities. All users of the premises must cooperate with those measures.

17. Photography, Video and Marketing

Igloo Wellness Centre may, from time to time, take photographs or video recordings on the premises for marketing, social media, training or operational purposes.

You agree that:

  • we will not use any image or recording in which you are personally identifiable for marketing or social media purposes without your separate written consent;
  • we may, however, take general photographs or video of the facilities, classes or events in which individuals may incidentally appear and which are not directed at any particular person;
  • if you do not wish to appear in any such general photographs or video, you must inform a member of staff in advance of the relevant session, and we will take reasonable steps to accommodate your request;
  • you must not take photographs or video of other participants or of restricted areas, including changing rooms, showers and the contrast therapy centre, without their and our express consent.

Separate consent will be sought for the use of any identifiable image or recording in marketing, ambassador, influencer or content creation activities.

18. Data Protection and Privacy

Igloo Wellness Centre is the data controller for personal data collected through bookings, the PAR-Q, the medical and health information you provide, and your use of the facilities.

Health information you provide constitutes special category personal data under the UK General Data Protection Regulation (“UK GDPR”). We process this data for the purposes of:

  • assessing your fitness to participate and ensuring your safety while on the premises;
  • responding to medical emergencies;
  • complying with our health and safety, regulatory and insurance obligations;
  • maintaining accurate records of incidents and accidents.

Full details of how we process your personal data, the lawful bases on which we rely, our retention periods, your rights as a data subject and how to exercise them are set out in our Privacy Notice, which is available at the reception desk and on our website.

By signing this Waiver you confirm that you have been given the opportunity to read the Privacy Notice.

19. Limitation of Liability

Nothing in this Waiver excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, breach of any term implied by section 49 of the Consumer Rights Act 2015, or any other liability that cannot lawfully be excluded or limited.

Subject to the above, and to the fullest extent permitted by law, Igloo Wellness Centre is not responsible for:

  • injury, illness, loss or damage arising from your failure to disclose relevant medical information;
  • injury, illness, loss or damage arising from your failure to follow instructions, signage, session guidance or staff directions;
  • injury, illness, loss or damage arising from unsafe or improper use of facilities, studios or equipment;
  • adverse reactions arising from voluntary participation where the activity was provided in accordance with instructions and no negligence is established;
  • loss, damage or disruption caused by circumstances outside the reasonable control of Igloo Wellness Centre;
  • indirect or consequential loss.

20. Variation

We may amend this Waiver from time to time, for example to reflect changes in law, regulation, operational practice or insurance requirements. The current version of the Waiver will be displayed at the premises and made available at the point of booking. Your continued use of the facilities after a revised version takes effect constitutes acceptance of the revised Waiver. Where the change is material, we will draw it to your attention before your next session.

21. Severability

If any provision or part-provision of this Waiver is or becomes invalid, illegal or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and enforceable. If such modification is not possible, the relevant provision or part-provision shall be deemed deleted. Any modification to, or deletion of, a provision or part-provision under this clause shall not affect the validity and enforceability of the rest of this Waiver.

22. Governing Law and Jurisdiction

This Waiver, and any dispute or claim arising out of or in connection with it or its subject matter or formation, including non-contractual disputes or claims, is governed by and shall be construed in accordance with the laws of England and Wales.

Each party irrevocably agrees that the courts of England and Wales shall have exclusive jurisdiction to settle any such dispute or claim.

23. Consent and Acknowledgement

By booking, attending, using the facilities or participating in any session, class or activity at Igloo Wellness Centre, you confirm that:

  • you have read this Health, Safety & Participation Waiver in full;
  • you understand the nature of the activity you are participating in;
  • you understand that wellness, recovery, heat, cold, movement and exercise activities carry inherent risks;
  • you have had the opportunity to ask questions before participating;
  • you voluntarily agree to participate;
  • you accept the terms of this Waiver;
  • the information you provide to Igloo Wellness Centre, including in the PAR-Q, is complete, true and accurate to the best of your knowledge;
  • you have been given the opportunity to read our Privacy Notice.

If you do not understand any part of this Waiver, or if you are unsure whether any activity is appropriate for you, you should not participate until you have obtained suitable clarification and, where appropriate, independent medical advice.
